Payment. Payment is due in full before your evaluation is scheduled. Once payment and your records are received, you will get a link to choose an appointment time. Fees are not refundable after payment. Our services are private pay; they are not billable to insurance and are not reimbursed by the VA.

Scheduling and cancellations. If you need to move your appointment, please give at least 24 hours' notice; there is no charge for that. Appointments cancelled with less than 24 hours' notice, or missed without notice, carry a $100 rescheduling fee, which must be paid before a new time is booked.

Records. We ask for your DD-214, service and medical records, prior VA decisions, and C&P reports so the evaluation reflects your actual history. Your completed documents are typically delivered about one week after your appointment, as PDF files sent directly to you. You decide what to submit to the VA; we do not file anything on your behalf.

Telehealth. All evaluations are conducted by secure video (Google Meet under a HIPAA business associate agreement) with a licensed doctoral psychologist. Sessions are not recorded. We serve veterans in 44 states plus Washington, DC through PSYPACT and direct state licensure; we are currently unable to serve residents of Massachusetts, Louisiana, Iowa, New Mexico, Oregon, or Hawaii.

Privacy. Your records and everything discussed in your evaluation are handled under HIPAA privacy rules. We do not share your information with the VA or anyone else without your written authorization.

Independence. Mental Health Nexus Letters is not affiliated with the Department of Veterans Affairs. We provide an independent clinical opinion based on your records and evaluation. We do not guarantee any rating, service connection, or claim outcome; the VA makes all decisions. If, after your evaluation, the evidence does not support a favorable opinion, we will tell you before completing the documentation. You still receive all of your documentation, and the fee is unchanged; it pays for the evaluation, not the outcome.
